You Don't Need to Digitize Everything. Just Pick One Thing.

AEC firms aren’t behind — they’re realistic. 52% still use paper somewhere in design, and only 11% are fully digital. That’s not a failure. It’s a signal that “go digital” has been framed as an all‑or‑nothing initiative: new software, rollout plans, training cycles, and months of change management. Of course it stalls. 

The firms actually moving forward aren’t boiling the ocean. They’re choosing one paper‑based workflow and modernizing just that. Small enough to test. Safe enough to learn. Useful enough to prove the point. 


Pick a workflow — daily logs, punch lists, RFI tracking. Something that won’t break anything if the first attempt is clunky. Then run these ten prompts with whatever AI tool you already have. 


  1. Turn handwriting into structured data — “Here’s a handwritten daily site log: [paste]. Convert this into a structured format with date, weather, crew count, work completed, delays, and safety notes.” 

  2. Rebuild your paper form digitally — “I use this paper form for [punch lists / inspections / daily logs]: [describe fields]. Recreate it as a digital structure I could build in Excel, Sheets, or a PM tool.” 

  3. Standardize field shorthand — “Here are notes from three foremen using different abbreviations: [paste]. Standardize these into one format and flag anything unclear.” 

  4. Make scanned punch lists trackable — “Here’s the text from a scanned punch list: [paste]. Turn this into a numbered list with item, location, responsible party, and status.” 

  5. Digitize your RFI log — “Here are RFIs I’ve been tracking on paper or email: [paste]. Organize this into a log with number, date submitted, question, response, and days outstanding.” 

  6. Design a digital intake form — “Replace this paper intake form: [describe]. Tell me the exact fields, field types, and validation rules for mobile use.” 

  7. Summarize paper meeting notes — “Here are notes from the last four progress meetings, some handwritten: [paste]. Summarize recurring issues and unresolved action items with owners.” 

  8. Write the one‑page transition plan — “Write a one‑page SOP for moving from paper to digital [daily logs/punch lists/RFIs]. Include what stays the same, what changes, and three things the field team needs to know.” 

  9. Prepare for field pushback — “I’m moving my team from paper [X] to digital. What are the five most common objections field crews raise, and how should I respond to each?” 

  10. Measure whether it actually worked — “Help me pick three simple metrics to track over the next 30 days to see if this switch is saving time — and how to measure each with tools I already have.” 


Digitizing one workflow won’t solve every problem. But it proves something important: digital doesn’t have to be disruptive. Once you’ve done it once, the next workflow is easier, faster, and far less intimidating.
