How to Go From Sending One Proposal a Month to More Using AI

Most AEC firms can only get one proposal out the door a month. Not because the work isn't there — because every proposal starts like it's the first one the firm has ever written.

The team hunts for a project narrative that already exists somewhere. Someone rewrites a resume that was perfect on the last submission. The win themes get reinvented from scratch. By the time it's assembled, the deadline is breathing down everyone's neck and half the good pursuits got skipped because there wasn't time.

The problem isn't effort. It's that the firm treats every proposal as a blank page instead of a reassembly of things it already knows how to say.

Here are three AI prompts that cut the drafting time down fast. Paste them into your AI tool of choice and swap in your own details.

1. Turn the RFP into a compliance checklist

"Read the attached RFP. Pull out every submission requirement — page limits, formatting rules, required forms, sections, and deadlines — and organize them into a compliance checklist I can hand to my team. Flag anything that's easy to miss."

Stop the night-before scramble where you find a missed form requirement too late.

2. Repurpose a past project description for a new pursuit

"Here's a project description we wrote for a past proposal. Rewrite it to emphasize [relevant scope], keeping it factual and in a plain, confident tone. Keep it under 200 words."

Turn content you already have into content that fits the pursuit in front of you — in minutes, not hours.

3. Draft win themes from the RFP's own language

"Based on this RFP, what does the client care about most? Draft three win themes that connect our strengths to their stated priorities. Use their language where it makes sense, and keep each theme to two or three sentences."

Gives you a strong starting point for the story instead of a blank page.

These prompts work best when the content behind them is organized and easy to find. Get your past proposals, resumes, and boilerplate in order first. Then the AI has something real to pull from — that's process before software.

If you want to take it further, that's where Arvaya comes in. We build this into how your firm runs: your past work organized so the right content is always findable, the RFP-to-draft grind automated, and everything tuned to your voice so the first draft sounds like you.

This is how a firm goes from one proposal a month to four — same team, more wins.
